Instructions for Preparing your Camera-ready Paper

This page contains instructions for authors of accepted papers to NetGames 2017 on how to prepare and submit the camera-ready versions of their papers.

Deadlines

  1. Both the signed copyright form and the final camera-ready version of your paper must be submitted to the submission sites (Long/Short papers and Demo papers) by April 28, 2017.

    To upload your signed copyright form and final camera-ready paper, go to the submission sites, click your accepted paper tile, and then click "Edit" button; you can specify the files of your paper and form. Finally, please click "Save submission" button.

  2. Each paper should be associated with at least one Author registration by April 28, 2017 in order to be included in the proceedings. A paper without registered authors past April 28, 2017 will be withdrawn.

Copyright Form

The corresponding author for each paper must fill out and submit a signed copy of the IEEE Copyright Form by April 28, 2017. A PDF version of the signed form must be uploaded to the submission sites.

Formatting Instructions

The proceedings of NetGames 2017 will be published by the IEEE, and included in IEEE Xplore. The IEEE formatting instructions provided in this section MUST be strictly followed in order for your paper to be included in the conference proceedings.

General Instructions

  • LONG papers must not exceed 6 pages, while SHORT and DEMO papers must not exceed 3 pages (including all figures, references and appendices)
  • Use single-space, two-column US Letter page size (8.5" x 11")
  • DO NOT include footers or headers
  • DO NOT page number your manuscript
  • DO NOT apply security settings to your PDF file
  • Only PDF format is accepted

Preparing your IEEE-compliant Camera Ready Manuscript

Formatting instructions are available at the following IEEE Proceedings Templates for LaTeX and Microsoft Word users. To prepare and submit your IEEE-compliant camera ready manuscript, you should strictly follow the steps described below:
  • Format your paper following the IEEE Proceedings Templates guidelines.
  • Add the copyright notice to the bottom of the first page of your paper. If necessary, please contact Publication Co-Chair (Pingguo Huang) at huangpg[AT]seijoh-u.ac.jp for the appropriate copyright notice.
    • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5090-5038-3/17/$31.00 ©2017 Crown
    • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5090-5038-3/17/$31.00 ©2017 European Union
    • For all other papers the copyright notice is: 978-1-5090-5038-3/17/$31.00 ©2017 IEEE

  • Generate Xplore-compatible PDF file of your IEEE-compliant manuscript (see next section for detailed instructions on how to generate Xplore compatible PDF files).
  • Submit your Xplore-compatible PDF file to the submission sites by April 28, 2017.

Generating IEEE Xplore Compatible PDF File

IEEE is very strict about the requirements for converting application files or PostScript files to full-text PDF for inclusion in IEEE Xplore. The new IEEE Xplore requirements for PDF will be enforced. All conference articles submitted for inclusion in IEEE Xplore must be in Xplore-compatible PDF format.

NetGames 2017 has registered for use of the IEEE tool: PDF eXpress Plus. IEEE PDF eXpress Plus is a free service to IEEE conferences, allowing their authors to make IEEE Xplore-compatible PDFs (Conversion function) or to check PDFs that authors have made themselves for IEEE Xplore compatibility (PDF Check function).

If you would like to submit your source file to PDF eXpress Plus for conversion and validation, PDF eXpress Plus converts the following file types to PDF:
  • Postscript
  • Word Pro
  • Microsoft Word
  • WordPerfect
  • Freelance
  • QuarkXpress*
  • PageMaker
  • Rich Text Format
  • FrameMaker
  • (La)TeX (DVI and all support files required)*
*For documents created in formats that do not embed source files, include all support files with the final manuscript in a compressed archive for submission. If it is possible to embed images in the source document, you should do so to avoid potential issues, such as missing graphics.

Instructions for using IEEE PDF eXpress Plus:

  • Click here to go to PDF eXpress Plus.

  • Click link: " New Users - Click here"
  • Enter Conference ID: 40371XP
  • Enter your email address
  • Choose a password
  • Continue to enter information as prompted (You will receive an email confirming the successful creation of your account).
  • Upload either your source file or PDF file for Conversion and/or PDF Checking
  • Use PDF eXpress Plus to obtain an IEEE Xplore-compatible PDF file.
  • The site contains extensive instructions, resources, and helpful hints.
  • Through your PDF eXpress Plus account, you may submit your source application files for conversion to PDF, and/or submit PDFs for checking.
  • You will have the opportunity to revise your submission if you are not satisfied with the PDF that PDF eXpress Plus creates for you, or if the system finds problems with your paper, or if your PDF fails the PDF Check.
  • Technical support via email and telephone is available if you experience trouble in creating your PDF. If you have any questions regarding PDF eXpress Plus Web site, please contact the PDF eXpress Plus support staff at PDFSupport@ieee.org.
  • If there is a problem with your file, you will receive an e-mail detailing the problem(s). Otherwise the system will e-mail you a copy of your IEEE Xplore-compatible PDF file.

IMPORTANT NOTICE:
Submitting a file to IEEE PDF eXpress Plus is ONLY for creation of an IEEE Xplore-compliant PDF file. You MUST still submit your final PDF file.

>>Option 2: Generate Xplore-compatible PDF file by yourself

If you would like to create your own PDF file, please change the settings on your PDF distiller to insure your paper meets IEEE PDF specifications. Basic PDF distiller settings MUST be changed to:
  • Optimized,
  • Acrobat 5.0 compatibility,
  • ALL graphics at least 300 dpi resolution (higher if preferred),
  • ALL fonts MUST be embedded and subset,
  • Postscript settings DO NOT override distiller settings,
  • Page size is 612.0 x 792.0 points (8.5" x 11").
NOTE: you must verify that all fonts have been properly embedded and subset. Some font manufacturers now flag their fonts to not embed. These fonts must be avoided.

Submission

Papers are submitted through our submission sites. Please select one from among the following three sites depending on the type of paper: Long papers, Short papers, and Demo papers.

Please refer to the submission procedure for explanation about usage of the submission site.

Formatting

NetGames 2017 welcomes long papers to be presented in the single-track program, extended abstracts reporting work-in-progress to be presented with a poster during the poster and demo session, and demos showing original research prototypes.

All papers must be submitted in PDF according to the IEEE Conference Proceedings format with the following lengths:
- Long papers: 6 pages
- Extended abstracts (short papers): 3 pages
- Demos: 3 pages
Important Note: Each demo submission must be accompanied by a cover letter explaining what will actually be shown during the demonstration.

Reviews will be single-blind; authors must include their names and affiliations on the first page. Papers should not be under review at another venue nor previously published elsewhere. Submission of a paper for review will be considered your agreement that at least one author will register and attend the workshop if your paper is accepted.

Accepted and presented papers will be published in the workshop proceedings and submitted to IEEE XPlore as well as other Abstracting and Indexing (A&I) databases. IEEE reserves the right to exclude any paper from distribution after the workshop (e.g., removal from IEEE Xplore) if the paper is not presented at the workshop. .
